Hi there! I`m Yaryna, a Product Success Manager passionate about HubSpot and helping clients get the most out of our apps. I`m exploring all that HubSpot offers and am excited to learn and grow along the way! Feel free to connect via LinkedIn!

As organizations grow, so does the complexity of their CRM processes. What starts as a simple workflow with a single team quickly expands across sales, customer success, onboarding, operations, and leadership. With more people accessing HubSpot, security, structure, and controlled visibility become non-negotiable.
That’s why we’re excited to introduce one of the most requested and impactful updates to Data BridgeAccess Control.
This new feature gives you complete control over who can access, view, edit, or manage the embedded content, custom grids, and resources you add to HubSpot records using Data Bridge.
It’s designed specifically to support mid-size and large companies that need governance - not just convenience.

Why Access Control Matters

Modern teams rely on shared HubSpot data more than ever. But not every user should have access to every piece of embedded content. Before Access Control, all team members with record access could see and interact with Data Bridge widgets. For small teams, this was fine. For larger organizations… not so much.
Common challenges we saw:
  • Sales reps accessing internal onboarding materials
  • CS agents are editing content intended only for managers
  • Different departments need different dashboards
  • Compliance teams requiring strict visibility boundaries
  • Leadership needs high-level access without clutter
Now, Access Control solves all of these with a flexible, role-based system.

How Access Control Works

Access Control allows administrators to define exactly who can do what inside Data Bridge.

You can manage:
1. View PermissionsChoose which users, roles, or teams can see specific embedded content or grids inside HubSpot records.

2. Edit PermissionsLimit editing rights to managers, admins, or selected users so content stays consistent and protected.

3. Manage PermissionsControl who can:
  • Configure new Data Bridge widgets
  • Modify conditional display rules
  • Create custom grids
  • Update integrations and embedded elements
4. Team- or Role-Based RulesCompanies with multiple departments can easily segment access:
  • Sales team sees pricing tables, product sheets, and demo videos
  • CSM team sees onboarding playbooks, SLA dashboards
  • Leadership sees high-level KPIs, internal reports
  • Operations controls everything behind the scenes

Access is clean, structured, and designed for larger organizations with complex workflows.

Why This Feature Changes the Game

Data Bridge was built to bring external context - dashboards, videos, sheets, grids, guides - into HubSpot places where teams actually work.  Access Control elevates this mission. With granular permissions, Data Bridge becomes not just a utility - but a centralized content and workflow hub built for scale.Mid-size and enterprise companies finally get the structure they need to use HubSpot more effectively, with full control and clarity across teams.
